Washrooms, kitchens, heating and cooling for offices, with work scheduled outside trading hours so nobody loses a day.

Short answer

Office mechanical services are dominated by three things: washroom reliability, thermal comfort across zones that behave differently, and being able to do the work without emptying the floor. Zoning is usually where the complaints come from.

Where office complaints actually come from

Ask any facilities manager and the list is short and consistent: it is too hot on one side and too cold on the other, a washroom is out of action, or there is no hot water in the tea point. Almost nothing else generates a complaint.

Thermal comfort and zoning

The single largest source of dissatisfaction, and it is almost always a zoning problem rather than a capacity one. A floorplate with south-facing glazing on one side and north on the other has genuinely different loads at the same moment, and a single-zone system cannot satisfy both. Occupants respond by fighting the controls – propping doors, bringing in fans and heaters, taping over sensors – which makes everything worse and costs money.

The fix is design: separate zones with separate control, which on a modern system means VRF with per-zone indoor units, and on a heating system means separately controlled circuits. Where re-zoning is not viable, the next best interventions are solar control on the glazing and better sensor placement.

Washrooms

Office washrooms take heavy, concentrated use – everybody at once, several times a day. Domestic-grade fittings do not survive it. Individual isolation to every fitting means a failure closes one cubicle rather than the facility. See washroom installation.

Tea points and kitchens

Small, heavily used, and frequently an afterthought in the original fit-out. Boiling water taps and under-sink water heaters are a recurring maintenance item, and in hard water they scale quickly – which is one of the more visible arguments for treatment.

Working in an occupied office

  • Out of hours by default. Core drilling, ceiling access and anything requiring isolation happens in the evening or at a weekend.
  • Ceiling void access is the practical constraint on most office mechanical work, and tiles do not always come down cleanly in an older suspended ceiling.
  • Noise and dust matter more than in most sectors, because people are working within metres of it.
  • Multi-tenant buildings mean coordination with a managing agent and, frequently, with tenants who did not ask for the work.
  • Security and access control – passes, sign-in, escorted access in some buildings.
  • IT equipment everywhere, which means water is a serious risk and condensate routes need thinking about properly.

The empty-floor problem

Hybrid working has left a great many offices partially occupied, and the water systems were designed for full occupancy. Little-used outlets, low turnover in stored water and whole floors standing idle are exactly the conditions legionella control exists to address. Fit-out and refurbishment

Office fit-out is a sequencing exercise, and mechanical services sit early in it. Getting involved at design rather than at installation avoids the two most common and expensive problems: services routes that do not exist because nobody allowed for them, and zoning that reflects the drawing rather than how the space will be used.

Worth deciding early:

  1. Zoning strategy, based on the intended layout and aspect rather than an even grid.
  2. Services routes – risers, ceiling void depth, and where condensate can gravity-drain to.
  3. Tea point and washroom positions, which drive drainage runs and are expensive to move late.
  4. Plant location and noise, particularly where the building has residential neighbours.
  5. Metering, if the space will be sub-let or if energy is recharged.
  6. Access panels, which get designed out for aesthetic reasons and then cut back in badly two years later.

Office too hot on one side and cold on the other? That is a zoning problem and it is fixable, but not by turning anything up.

Questions we get asked about this

Can you work outside office hours?

Yes, and for most office work it is the only sensible option. Evenings and weekends for anything involving isolation, ceiling access or noise.

Why is our office always too hot on one side?

Almost certainly zoning. Different aspects have genuinely different loads at the same moment, and a single-zone system cannot satisfy both. It is a design issue rather than a capacity one.

We are only half occupied now. Does that affect anything?

Yes – water systems designed for full occupancy have low turnover when half empty, which is a legionella risk factor. If occupancy has changed materially since the risk assessment, it needs reviewing.

Do we need F-Gas leak checking?

If you have air conditioning above the CO2e threshold, yes, at a frequency set by the charge. Offices with VRF very often do and very often are not doing it.

Can you work in a multi-tenant building?

Yes. It needs coordination with the managing agent and usually with other tenants, and we will handle that rather than expecting you to.

Our tea point boiling tap keeps failing.

In hard water, scale is usually the cause. Treatment on the feed to that appliance is cheap and it extends the life of the unit considerably.
